We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO and executive team. The Executive Assistant will manage a wide array of administrative and operational tasks, including client and partner onboarding, sales support, cold calling, scheduling, and coordinating special projects. This role requires someone with exceptional multitasking abilities, strong communication skills, and a high level of discretion, capable of anticipating the needs of the executive team and handling tasks with efficiency and professionalism.
Key Responsibilities:
Administrative Support:
Manage daily schedules, calendars, and appointments for the CEO and executive team.
Organize and prioritize meetings, events, and travel arrangements.
Prepare executive reports, presentations, and correspondence.
Perform data entry, record keeping, and document management, ensuring confidentiality.
Client & Partner Management:
Cold call prospective clients and partners to generate new business opportunities.
Onboard new clients and partners, ensuring smooth integration and familiarity with software and services.
Maintain strong relationships with new and existing clients, providing exceptional customer service and support.
Act as a liaison between the executive team and clients, ensuring that client needs are met efficiently.
Sales Support:
Assist in the sales process by identifying potential leads, coordinating outreach efforts, and maintaining client information in CRM systems.
Provide product demonstrations and handle initial client inquiries.
Help with contract negotiations and assist in closing deals.
Track and report sales performance metrics to the executive team.
Operational & Project Coordination:
Coordinate special projects and initiatives as directed by the executive team.
Support the executive team in executing business strategies, handling multiple tasks, and managing deadlines.
Ensure efficient office operations, including managing supplies, organizing team meetings, and maintaining office equipment (for office-based roles).
Communication & Liaison:
Act as the point of contact between the executive team, clients, partners, and internal teams.
Handle incoming calls, emails, and inquiries, ensuring they are addressed or directed to the appropriate departments.
Draft and manage high-level communications, memos, and correspondence on behalf of the executive team.
Requirements:
Proven experience as an Executive Assistant, Sales Assistant, or similar role in a fast-paced environment.
Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
Strong verbal and written communication skills, with the ability to engage with clients, partners, and internal teams professionally. Fluent in English is a must.
Experience in cold calling and client onboarding is preferred.
High level of discretion and confidentiality.
Ability to anticipate needs, solve problems, and handle diverse administrative tasks with a proactive and detail-oriented approach.
Ability to work independently, demonstrate initiative, and maintain a high level of professionalism.
